The right candidate will have at least four years as an Administrative Assistance, ideally within a consulting environment, and a natural ability to multitask, organise and communicate to the highest standards.

About You

You are passionate about delivering support to senior colleagues to the highest standards, displaying excellent communication and organisational skills. You will have developed an ability to take initiative and prioritize daily tasks ranging from general office administration, including reception duty, to executive support.

The Role

There are two main aspects to this role: firstly, you will provide comprehensive administrative support to two Directors within the business. This will include calendar organisation, travel booking, documentation preparation and other such activities. Secondly, you will provide general office administration such as management of the office inventory, front desk duties, and event planning, along with the support and guidance of two Executive Assistants.

Specifically, you will:

  • Provide comprehensive administrative support to a Senior Director & a Director along with their immediate teams
  • Manage and organise calendars, appointments and meetings
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation
  • Prepare and distribute internal and external communications, memos and reports
  • Assist in the preparation of presentations and documents
  • Handle incoming calls, emails and correspondence with professionalism and efficiency
  • Maintain and update office records and databases
  • Coordinate office suppliers, equipment and maintenance needs
  • Assist in the planning and execution of company events and meetings
  • Collaborate with other team members to ensure smooth office operations and front desk support

Your Experience

  • At least 4-years proven experience as an Administrative Assistant or in a similar role (preference to have previous roles within the Consultancy or Pharmaceutical / Medical / HR industry)
  • Diary management experience – this is essential
  • Proficient in Microsoft Office Suite and other relevant software
  • Excellent organisational and time-management skills
  • Strong communication and interpersonal abilities
  • Ability to handle confidential information, and with discretion
  • Attention to detail and accuracy in all areas of work
  • Proactive problem-solving skills
  • Knowledge of office management skills and procedures
  • Ability to multi-task and prioritise tasks effectively
  • A down to earth, positive, and professional demeanour

Qualifications:

  • GCSE’s, A-Level, B-Tec, Diploma or other Higher Education / Degree

 

You will be based in our UK office, four to five days per week. All candidates must be eligible to work in the relevant location.
